The Catholic Community at Relay began its evolution into an Intentional Eucharistic Community in 1970. We are a warm, welcoming community with a strong focus on spiritual growth and social justice. Being a lay-led community, we rely on our members (the laity) to shape and guide us. We are grateful to celebrate liturgy with many priests including Jesuit, Sulpician, Trinitarian, Missionary Oblates, and retired Diocesan. Since its inception, the Archdiocese of Baltimore recognizes our faith community as a mission church. This standing gives us the ability to offer sacraments that are recognized by the greater Catholic Church. 


Job Summary 

The Administrative and Financial Manager (Manager) supports the entire Catholic Community at Relay faith community in a variety of coordination and administrative functions. The Manager is responsible for sharing pertinent information, preparation of communications, scheduling priest presiders, financial management including report preparation, virtual and in-person meeting planning, and calendar management. Additionally, this role is responsible for supporting and coordinating our faith community’s overall operation and financial management. 

 

Roles and Key Responsibilities 

  • Plans for and coordinates the needs of the faith community to ensure that all ministries operate smoothly.
  • Provides support to the Co-Coordinators in the management and administration of the faith community’s operations, policies, and decision-making. 
  • Schedules, attends, and prepares minutes for Steering Committee meetings (monthly)
  • Schedules, attends, and prepares minutes for Community Assemblies (quarterly)
  • Supports communications to Ministry Leaders
  • Every week, the manager works with the Communications Ministry to create content for, edit, and format the E-News (Electronic Newsletter) for distribution by 10 a.m. on Thursday.
  • Every week, the manager distributes liturgy materials to the Host, Priest, and Readers.
  • Attends Liturgy Ministry Meetings on a monthly basis.
  • Works closely with the Finance Minister in the execution of all financial matters.
  • Manages financial recordkeeping in QuickBooks Online system. 
  • Oversees cash flow management and bill payment.
  • Prepares federally required “tax letters” for donations of $250 or more.
  • Reconciles financial records each month: banking, payroll, etc.
  • Keeps the website and its calendar updated.
  • Ensures that community policies are carried out.
  • Ensures that phone calls are responded to in a timely fashion. 
  • Pro-actively ensures that maintenance is carried out according to schedule.
  • Is available for emergency calls and able to send out special E-News announcements on short notice.

Basic Qualifications

 

Education and Experience   

  • Ability to work independently; 
  • Experience working as part of a team. 
  • High degree of proven proficiency in MS Word, Excel, Google Docs, etc. Ability to learn new programs such as Club Express and QuickBooks.

 

Required Languages - English is required.

 

Knowledge, Skills and Abilities

  • Ability to regularly attend Catholic Community at Relay Sunday Services either in person or on Zoom.
  • Ability to work independently and in a self-guided way. 
  • Ability to supervise Financial Assistant each Tuesday and Friday.
  • Ability to work well with diverse stakeholders in a cooperative and friendly manner.  
  • Ability to keep complete confidentiality on all business matters. 
  • Strong organizational skills, attention to detail and ability to consistently produce high quality, accurate work in an efficient and timely manner.  
  • Excellent interpersonal and oral/written communication skills. 
  • Ability to quickly learn new tools, technologies and new platforms to improve work efficiency. 
  • Able to work flexible hours when needed.

 

What we offer  

The Catholic Community at Relay offers a flexible work schedule of approximately 15-20 hours per week. This position is eligible for 2 weeks of paid vacation.
